Job description:

QEB Hollis Whiteman are seeking to recruit a highly motivated, hardworking and experienced clerk to join their busy and friendly clerks room, to assist in the delivery of a high quality, efficient clerking service to clients and members of Chambers.

The Diary Clerk will be engaged in practice management and client handling and will be principally, but not exclusively, involved in assisting the clerking team in the efficient case management and clerking administration by the team.

The successful applicant must possess excellent organisational skills and the ability to work effectively and efficiently in a busy environment. Their work must be accurate, and they must be extremely reliable under pressure. Maintenance of accurate and complete records is extremely important.

Chambers has a busy marketing and business development programme; candidates should be personable, possess excellent communication skills and be willing to attend chambers events in support of this.

The successful applicant must be able to work under their own initiative as well as part of a team to ensure the best services are always provided to clients, members of chambers and staff.

It is essential that the candidate has previous experience within a barristers’ chambers and be familiar with the diary management computer programmes used, including the various business supporting functions such as those used for producing reports and marketing. They should have good working knowledge of criminal fees, billing and debt management, although additional training can be provided.

Job role:

Assist the Clerking team with day-to-day practice management, including:

  • All aspects of diary management such as monitoring the diary, ensuring that all parties have the relevant documentation for conferences , assisting with the administrative preparation for Court Hearings and/or conferences.
  • Booking new instructions onto the diary and case management system and ensuring all parties have the relevant documentation.
  • Providing administrative support for ongoing cases as directed, liaising with parties as directed. Monitoring and recording the results of Court hearings within the case management system and ensuring all parties are updated with the relevant information.
  • Keeping counsel and other clerks informed of any relevant diary alterations, potential clashes and diary issues.
  • Assisting the clerking team to check the daily court lists and the re-allocation of work for the following day.
  • Assisting the clerking team to monitor the diary long-term to ensure cases are suitable covered and client satisfaction is maintained;
  • Billing of all types of cases including both Defence and Prosecution Crown Court cases, Magistrates Court cases and private fees. Monitoring reports to manage all unbilled cases and also working alongside the Fees Clerk to liaise with solicitors over the payment of fees.
  • Deputise for the other Clerks in their absences and cover essential aspects of their responsibilities in their absence.

Practice Management:

  • Develop a detailed knowledge of each members practice;
  • Develop good knowledge of Chambers key practice areas.
  • Supporting the Senior Clerks with the preparation for members practice reviews.
  • Supporting the Senior Clerks with the preparation for practice group meetings and reviews.

Business Development:

  • Ensure client care is delivered to the highest standards.
  • Build good relationships with staff, members and client solicitors.
  • Report new business opportunities to the Senior Clerks.
  • Participate in business development events and initiatives as required, including some out-of-normal-hours commitments.
  • Assist the Marketing Manager, Clerks and other Members of Chambers with marketing plans and activity.

Client Relationship Management:

  • Develop and maintain relationships with clients.
  • Collate and maintain effective Customer Relationship Management data.

Other Tasks:

  • Undertake any other tasks reasonably delegated by the Senior Clerks, other members of the Clerking team and Members of Chambers.
  • Assist with the development of efficient systems including the effective use of Chambers case management software.
  • Contribute to staff discussions and meetings.

Essential experience & skills:

  • Approx. 2-3 years of previous clerking experience.
  • Excellent communication and interpersonal skills.
  • High attention to detail.

  • Efficient and reliable.
  • Excellent organisational skills and initiative.
  • Energetic self-starter with an ability to work with autonomy and work as part of a team.

Desired experience and skills:

  • Approx 2-3 years of experience in a Criminal Chambers

Further details:

  • 08:30 18:00 normal working hours (with flexibility around Chambers BD schedule)
