Main Function of Job

To provide support services to the Clerks Room and Members of Chambers and assist in the smooth running of Chambers.

Specific Duties

  • Booking In work accurately on the LEX Management system which will include:
  • Dispatching acknowledgement letter and any complaints procedure and/or

terms and conditions as required.

  • Recording the deadline date on the LEX diary for paperwork
  • Checking the LEX diary to ensure that bookings for any forthcoming
  • hearings/conferences are correctly recorded in the relevant Counsels diary and correspond accurately with the papers. If not, drawing this to the attention of the Team Leader.
  • Checking that a copy of the draft Precedent H form, for applicable Multi Track Civil matters, is included or has been received.
  • Entering papers with all the necessary information to keep Lex database and marketing systems up to date
  • Dealing with incoming calls, emails (both individually and to the clerks inbox) and hard copy papers that arrive into Chambers during the day printing (where necessary), entering, distribution and dispatch
  • Produce and administer CFAs where appropriate and assist with the filing and administration of CFAs, including ensuring signed CFAs are returned and saved to the back of the case.
  • Provide court and tribunal listing support, including confirming listing information to the relevant Counsel and Instructing Solicitor, by email, the afternoon prior to the hearing.
  • Lodging authorities and skeleton arguments to the courts and tribunals
  • Keep appropriate records of returning of case papers to solicitors up-to-date and that the clerks room remains tidy
  • Have the ability to field calls and generally deputise for more senior members of staff
  • Assist with the pricing of written work and brief fees with an emphasis on knowledge of standard and agreed fees
  • Develop the ability to allocate work without the supervision / prior authorisation of a Team Leader as appropriate with awareness of fair allocation of work principles and processes
  • Telephone and email liaison with solicitor clients in arranging conferences, general appointments and updating solicitors on paperwork positions, ensuring that all communications are clear and concise.
  • Supervise, oversee, assist and, in their absence, cover the Junior Clerk role ensuring that all daily tasks are completed.
  • In the absence of the junior clerk, alongside any other staff member in the same role:
  • Collection and distribution of incoming DX, mail and email and sending out same (including Special Delivery items to the Post Office when necessary) throughout the day including the organisation of couriers with reception.
  • Assisting in provision of clients and clerks refreshments
  • Assist in routine housekeeping tasks for Chambers when required
  • Researching authorities in libraries and online
  • Transport of books and papers to and from court and tribunals, and other collections and deliveries as required
  • Photocopying, clearing paper jams, maintaining paper levels in photocopiers, and topping up toner etc.
  • Check the building daily to ensure that everything is in good working order and that all communal areas are clear and tidy.
  • Developing familiarity with the general objectives and priorities of the Clerks Room and your understanding of Chambers and Members specialist areas and their clients.
  • Work as a team with other Clerks and the Administration Team to ensure that all necessary tasks are performed daily and provide cover for other members of the team during holidays, sickness and other absences that may arise.
  • Being prepared to sometimes exceed your usual hours of work to see a task through to a satisfactory conclusion.

The duties outlined in this job description are the same as those of the Team Leader Assistant position, however this role is designed for those stepping up from the Junior Clerk position and gaining experience in this junior post
